We're excited to share some important updates arriving next week that will make managing your platform significantly easier. Please take a moment to review the changes below, as some of them will affect how access is managed across your account.

User & Access Management
We've streamlined how users, groups, and portals are managed. From the user table, you can now handle everything in one place — including moving users between portals using a new multi-select feature.
You can also assign users to roles (in addition to groups), which allows you to set role-based ownership of processes, forms, and documents. This reduces reliance on named individuals and makes your setup more resilient to team changes.
A new org chart feature has also been introduced, allowing you to map out your organisation's structure to support access control, escalation workflows, and automations.
Action: Please ensure your users are assigned to the correct groups, as groups will be the primary method of managing access going forward.
Portal Access — Important Changes
This is the most significant change in this release. The way portal users access features has been fundamentally simplified.
Previously, you had to manually connect forms, processes, and documents to each portal via links or dashboards to grant access.
From next week, portal users will automatically see all features that are set to Public — no additional steps required. To restrict access to a feature, simply set it to Private and choose which users, groups, or portals should have access.
Please note: Portal dashboards and links will no longer control access. If you currently use global portal dashboards, these will be automatically converted to workspaces, retaining the same access settings.
Portal Dashboard Improvements
Portals without a dashboard will now display a clean, informative home page rather than a blank screen.
The task view has been improved with clearer navigation sections.
A new portal management page gives admins quick access to settings and home page configuration.
General UI Improvements
Several pages have been updated with a cleaner, more modern look. You can now switch between views, filter content, and add icons to personalise your workspace.
Doc Hub Updates
The document management area has also received a number of improvements:
Access settings and area roles are now combined into a single, simplified table.
The up-issue process is more straightforward, with the ability to assign tasks and instructions to others directly from the up-issue window.
Improvements to collaborative editing, review and approval workflows, and document history.
