What is ISO 45001?
ISO 45001:2018 is the international standard for occupational health and safety (OH&S) management systems. It gives organisations a framework to prevent work-related injury and ill health, provide safe workplaces, and continually improve OH&S performance. It applies to any organisation of any size or sector that wants to control its safety risks, and its defining features are strong leadership commitment and genuine participation and consultation of workers at every level.
Built on the Annex SL high-level structure, ISO 45001 is organised around clauses 4 to 10 and follows the Plan-Do-Check-Act cycle. Certification involves implementing the management system, identifying hazards, assessing risks and legal obligations, then demonstrating conformity to an accredited certification body through a Stage 1 documentation review and a Stage 2 on-site audit. Certification lasts three years, supported by annual surveillance visits to confirm the system stays effective.
How Q-Hub maps to ISO 45001 clauses
| Clause | Requirement | How Q-Hub helps |

Performance evaluation | Monitor and measure OH&S performance, evaluate compliance, investigate incidents, run internal audits and management review | Audit Hub schedules internal audits and findings; CAPA logs incident investigations; evaluation of compliance and management-review inputs are captured with live KPIs |
| 10. Improvement | Manage incidents and nonconformities, take corrective action, and continually improve the OH&S system | CAPA handles nonconformances, root cause analysis, corrective actions and effectiveness checks, driving demonstrable continual improvement |
Be ready for certification audits and surveillance visits
ISO 45001 audits scrutinise not just your documents but your live hazard registers, incident records and worker consultation. Q-Hub keeps every piece of evidence dated, linked and retrievable, so certification and surveillance visits are calm, not chaotic.
Evidence on demand
Every risk assessment, inspection and incident is time-stamped and searchable, so you answer an auditor's request in seconds rather than digging through folders.
Controlled documents
Document Hub enforces versioning, approvals and distribution, so auditors always see the current OH&S policy, procedures and records with a full change history.
Traceable corrective actions
CAPA links each finding to its root cause, corrective action and effectiveness check, giving auditors a clear closed-loop trail from nonconformity to resolution.
Never miss a surveillance date
Audit Hub schedules internal audits and Training Hub flags expiring competencies, so you walk into every surveillance visit already prepared and up to date.
Identify and manage workplace risks before they become incidents
ISO 45001 puts hazard identification and risk assessment at the heart of your safety system. Q-Hub's Register Hub gives you configurable hazard and risk registers where you can capture hazards, score risk, assign controls and track residual risk in one live view. Involve workers directly, keep assessments current as your operations change, and prove that risks are being managed proactively rather than after the fact.
- Configurable hazard and risk registers with likelihood and severity scoring
- Assign controls, owners and review dates so nothing drifts out of date
- Capture worker-reported hazards and near misses from the shop floor
- Track residual risk and trends on live dashboards for leadership
Report, investigate, and close out incidents faster
When an incident happens, ISO 45001 expects a fast, documented response with root cause analysis and corrective action. Q-Hub's CAPA workflow lets anyone report an incident from a mobile device, routes it for investigation, and drives root cause analysis through to corrective action and an effectiveness check. Close incidents faster, spot recurring causes, and turn every event into a demonstrable improvement for your next audit.
- Report incidents and near misses instantly, with evidence photos
- Structured root cause analysis links every incident to its cause
- Assign corrective actions with owners, due dates and reminders
- Effectiveness checks confirm the fix worked before closing out

ISO 45001 FAQs
ISO 45001:2018 is the international standard for occupational health and safety management systems. It gives organisations a framework to prevent work-related injury and ill health and to provide safe, healthy workplaces. It emphasises leadership commitment, worker participation, hazard identification and continual improvement, and applies to organisations of any size or sector.
Any organisation that wants to manage its occupational health and safety risks systematically can adopt ISO 45001, but it is especially valuable for manufacturers and industrial businesses with significant physical hazards. Many clients, tenders and insurers now expect certification as proof of a mature, proactive approach to worker safety.
ISO 45001 replaced OHSAS 18001, which was withdrawn in 2021. It adopts the Annex SL high-level structure shared by ISO 9001 and ISO 14001, making integration easier. It also places far greater emphasis on organisational context, leadership accountability and genuine worker consultation and participation than the older standard did.
For most organisations, implementation takes three to six months depending on size and how mature existing safety practices are. After implementing the system, certification involves a Stage 1 documentation review and a Stage 2 on-site audit. Q-Hub shortens the journey by structuring your hazards, risks, documents and audits from day one.
Worker participation and consultation are central to ISO 45001 clause 5. Q-Hub's Smart Forms let workers report hazards, near misses and incidents from a mobile device and record toolbox talks and consultations. Register Hub captures worker-raised hazards, giving you documented evidence that your workforce is genuinely involved in OH&S decisions.
Yes. After certification you must pass annual surveillance visits over the three-year cycle. Q-Hub keeps every risk assessment, inspection, incident and corrective action time-stamped and retrievable, while Audit Hub schedules internal audits and Training Hub flags expiring competencies, so evidence stays current and surveillance visits stay stress-free.
