Upload a doc with name conventions
Learn how to upload a document with naming conventions in Q-Hub by selecting a convention set, configuring fixed fields and auto-generated numbers, and saving the document as controlled. When you're in any area, if you have a naming convention set up, the way to upload and add a naming convention is in the following method: select the standard upload files option. Once here, either drag and drop your file into the blue rectangle or select your file from your folders. For this one, we're going to select TBT Dash Heat. Once the file's loaded, as you'll see in the uploading file section, select the blue upload button. Once the blue bar has completed and it says done, you then have an option to select the lock symbol. The lock symbol will ensure that the file is going to be set up as a controlled file. The file must be set up as a controlled file in order for naming conventions to work. Click done and this will add the file into your area.
As you will see, there is a blue setup box. The file name here will be the current file name format that you have saved on your desktop. So to use the naming convention, click the blue setup button. And then when you have the document setup box, you'll see there is an area here which says convention set. When selecting the drop down, it allows you to select your applicable convention set to apply to this document. So on this one, we just have standard document setting. This, you'll see that there's a number of options for this naming convention. The ABC is a fixed field. This has a drop down and this one we'll click document. There is an auto-generated number and we're also asked to give the document a description. And this one we'll call it test file. As you can see, the document name is being identified below. Once you're happy, select done.
What you'll see is all the rest of the formatting at the top of the document has been grayed out because the naming convention is being used. You then have an option to give it an issue status and set it at your current revision number. If you're uploading a document which already has a revision, below you'll see the uncontrolled and controlled. So you want to leave it controlled and then set up your review settings and below that your revision update settings, so whether you want all people to be notified and whether you want a read and understood task to be selected. At the end, once you're happy, select save and you'll see your document is now saved as your naming convention and the current version.
