Setup pre approval settings DL
Learn how to configure pre-approval settings in Document Library by making an area private, setting user access permissions, defining reviewer and approver roles, and establishing document upload rules.

From the Document Library home page, you want to locate the area that you'd like to set up pre-approval on. Click doc areas to find the area that you want to control. In this case, we'll use the pre-approval setup area. Once in the area, find the settings cog in the top right-hand corner of the main area page.
Once selected, you'll notice that there are three options: area access, area roles, and area controls. In order to set up area pre-approval settings, you need to make the area private. If the area is already private, then you won't need to – you can skip this step. But if not, select where it says public and change this to private. You'll now see that the area access has changed. Within the area access is where you can add additional users who can gain access to this area.
Select the green plus button and here you can add all your users or as many users as you would like by simply ticking next to their name and selecting done. When you're happy, access settings then can be controlled for each user. Select the button where it says write or edit and change the user access as applicable.
Once happy with your access settings, you want to then go to the next section, which is the area roles. This is where you define who can be involved as a reviewer and approver when uploading documents into the area, as well as when issuing documents in that same area. For this demo, what we'll do is select Sally as a reviewer and approver.
Once happy, you can then move on to your area controls. This is where you will set up the document upload rules. Once toggled on, you will see that there are two options that open up. The first option gives you the setting preset who will review and approve the uploaded documents. Presetting this allows you to choose who must be a reviewer and must be an approver. This will give the user no options to select the reviewer and approver.
The second option will allow the user uploading the documents to pick a reviewer and approver from the area's list. You remember the area roles that we set for Sally – this will allow the user to only pick from those who have been ticked for the reviewer and approver. The second step is to pick the number of people that need to review and approve documents. For our instance, you'll see as we try to click the more button, it will only allow us to go up to one because only Sally has been enabled. If you had more people, then this would allow you to increase that number. Once you're happy, click the back button and that will take you back to the area that you want to upload documents into.
