We’re making an update to some of our core documents.

How this affects you

  • Your existing contract continues to be governed by the Terms & Conditions that applied at the point you originally signed or last renewed.

  • The new versions will take effect for you from your next renewal date (or from any new order you sign after 01/01/2026).

We’re sharing these now so you have full visibility before renewal and time to raise any questions.

What’s changed in the new documents (high level)

Most changes are about clarity, consistency and alignment, rather than changing the commercial deal:

  • Clearer structure and language
    The Terms are easier to read, with clearer headings, fixed cross-references and consistent wording and branding.

  • Data protection and security wording strengthened
    We’ve clarified how we handle Customer Data and limited Sensitive Data under GDPR/UK GDPR, and described our intention to align with standards such as ISO 27001 and Cyber Essentials.

  • Sensitive Data and compliance use
    The Terms now recognise that some customers use Q-Hub for compliance and may need to store limited special-category data. Customers remain responsible for deciding what to store and for having a lawful basis; we commit to reasonable technical and organisational measures and to handling data in line with law and our DPA.

  • Public vs private content
    We’ve made it clearer that only content you deliberately make public (for example, shared templates) may be used for marketing Q-Hub. Your private business data in Q-Hub will not be used for our marketing without your explicit written consent.

  • Renewals and notice periods
    We still use 12-month subscription terms with auto-renewal and a 60-day notice period if you don’t want to renew. We now also commit to sending a renewal reminder (and any renewal offer) at least 90 days before the end of the current term.

  • Alignment of SLA and DPA with the main Terms
    The SLA and DPA have been updated so they clearly sit under the main Terms, including tying their liability provisions to the same overall cap (fees paid in the previous 12 months, with standard legal carve-outs).

Next steps

You don’t need to take any immediate action. Your current terms stay as they are for the rest of your existing subscription term. The updated documents will automatically apply from your next renewal.
