How to Download and Use the H&S Process Template

Hey guys, welcome to this walkthrough on how to download, customize, and share a health and safety template process on the platform. To access the template, navigate to Resources and to make things easier, in the search bar type in Health and Safety Process. Select the first one here.

So this process ensures that all workplace accidents and near misses are documented, investigated, and addressed to improve safety and prevent future occurrences. So it involves reporting the event, conducting an investigation, determining the root cause, and implementing corrective action. To get started, click Add Process.

So this has opened the process, and for each of these steps we're able to open any of these boxes and change any of the fields or set up any notifications. So for an example, under Report Information, location of the event is set to text. Any of these fields you can change the field type. So if you prefer, you could have a dropdown and fill in your different locations. Remember to press Save once you have made all necessary changes.

Simply press Save, enter the number the entries should start from, and your process is now saved. If you do need to edit again, simply go to Versions and then select Update Issue. This then opens the Process Builder where you can again open any of the steps and change anything that you like.

Okay, now that you've tailored the process to your company's specific needs, it's probably a good idea for you to try it out a couple of times just to make sure that it really works how you need it to. So if we start the process and then maybe enter some information, having a look through and just making sure that everything is included that you need, then we'll complete the first step. Let's say investigation is required.

As you can see, each entry is organized into its own relevant table based on which step the process is at. Along the top there is an option to view all entries as one complete table. So to scroll across and view information that is entered for each field, you can also view the status of each entry as well. You can edit how your tables are formatted. For example, you can pin a certain column to the left or the right, or you can filter when the entry was started, or you can save a view as well, and this will allow you to come back to that view whenever you need it.

From the process settings, if you scroll down to View, you can choose an entry view option. So you can either group entries by status or group them by current step or by default display as one table. Let's change it to group entries by status. So now we've got two tables. The first shows all entries that are in progress, and then the second table shows all entries completed.

Also from within the settings, another useful feature is Reference Field. You can pick any field using the dropdown box from within any step of the process. Once you've chosen the fields that you wish to use, you can also set whether you would like each one to be displayed in Task Title or display in a Document Title.

Okay, now let's look at how you can share this process to other team members. So you can either add the process to a workspace or you can share to a portal for specific users and groups to be able to access. To add it to a workspace, navigate through to the space that you wish to add it to, go to Edit Dashboard, and we want to set it as a shortcut. Process Hub, go to a Process, and then simply select or search. Click Done, and it has added it to the dashboard for us.

Alternatively, you can add it to a portal. Click Add Portal Space, add your users, then same as before, go to Edit Dashboard Shortcut. Now when someone logs into the portals, they'll be able to start the Health and Safety Report process.
