Health and safety - Accident Incident Near miss

Hi guys. So I'd say about eight out of 10 people that we come across are still using paper and Excel spreadsheets to manage their health and safety accidents, incidents, and near misses. And it's a really complicated way of doing things. And often if you've got multiple sites, it's very difficult to keep on top of it. So what I'm going to do in the next minute or so is show you how you can build a dashboard like the one on the screen now and the whole health and safety system in under three minutes. Okay? So stick with me.
Okay, so the first thing we're going to do is head over to the resource center. And then we can just straight away type in health and safety report process. So there's my health and safety report process. So this is a template that we provide for free that will set you up for accidents, incidents, and near misses. So I can just click on that and I can add this process to our system.
So this is our Process Hub builder. It allows you to build all types of workflows and automations. And each step actually acts as a task for people to do. So in the health and safety example to start with we've got report information. So we're going to capture common things that you'd see whenever someone reports a health and safety event. So health and safety event, we've got the title, date of reportable event, upload any images if actions were taken. And then we've got some standard HSE text in here to help people understand if it's a near miss, incident, or accident.
Then we've got some report categories. So in ours we've got near miss, incident, and accident. And then depending on what people pick on the near miss, incident, and accident category will open and it will show a load of pre-made options in there. So any of these questions or buttons you can actually change and play with yourself so that you've got a very bespoke form.
Once you've done that, you can click close. We can have a look at the next stage where someone fills the report out. Then it's going to go to the health and safety team. And what we want to do here is just understand: do you want the investigation to be accepted by people and them to be able to send it back, or do you just want to fire it, say, into say like an operations manager to do the investigation?
Um, so in this example we have the ability using one of our decision fields to actually accept or reject the health and safety process. But let's say you don't want to do that and in your situation you just want to send an investigation to someone and make sure they do it. You can go to the report stage. We can click to change this to go straight to the investigation. Click investigation required, and then delete the investigation step optional bit out. And now our process flow is changed immediately so that we have the option to close it with no further action, to send it for review, and maybe for someone to raise a couple of actions like a light investigation. And then we've got a full investigation where we're going to ask for the root cause summary, corrective and preventative actions.
Uh, and we can automate who this goes to. So groups and different people. Obviously bigger companies you might want it to go to health and safety reps in each of your facilities or your buildings. And we can talk about that another time, but this is just to get you going. Uh, so we can click save and then we would click save on this top button up here. So what that will do is add a health and safety process like the one that I pre-made over here.
And the way it looks when people are filling it out is like this. So when you click start a process, you've got the report information. We can have the date in there. We can autofill the date if you wanted to. We could have a drop down of your different sites and locations to try and make it as quick as possible for people to fill it out. Uh, we've got all the different types. We can put on the body map if, depending on what the category. So if it's an incident, then the incident categories pop up and so on and so on.
Uh, once this is done, we're going to send it to Bob, who's our health and safety manager. You can see that's now currently with Bob Smith, and we've got all the detail in this page here. You might be thinking, well, what if I want to download it to Excel? That's not a problem either. You just click the entries table, and then you can click download as Excel.
So I'm almost under the five minute time frame. So I'm just going to show you now how you'd start to build the report style because what we want you to end up with is something like this where you've got all of your information being pulled from your health and safety reports. So you can tap on these and you can look at where the different accidents were coming from. And then you can actually go straight into the different accidents.
So for that, we go to the KPI Hub. We're going to go new KPI and make a generic KPI from our process. And this is our health and safety report process we're interested in. And I want to know just how many have been raised, let's say, in the last month. So I can take all of these. I want to know how many have been raised and I want it to be a number and I want to filter it by time for the month to date. And there we are. There's my KPI. I can click save and I can add this to a dashboard.
What if I want to know more details? So if I go field and I want to find out in terms of our categories, what are the categories that we've been having accidents for? So maybe it's, select the correct category. So all of them so far this month have been incidents. But if I go back to in total, we can now see that we've got incidents and near misses and accidents on here as well. So all of the data from your report process can actually go into the KPIs. It's all automatic and it's all live as well.
So if you imagine you've got lots of different sites who are filling out the accident report processes for the central health and safety team, it can all flow up into one dashboard like this to make it as easy as possible to manage. Um, and if your sites want a very simple view to be able to log in, they can do it with a QR code. Um, or we can set them up with a portal. So they might have a shop floor or location portal like this and we just add real simple buttons on there to start a health and safety report. They tap it and it opens the report process.
